• To use the available time in such manner to achieve desired goals.

- Set aside effort to believe it’s wellspring of intensity
- Take time to play, it’s the source of youth
- Set aside some time to read, it’s the source of wisdom
- Take time to love, it’s the privilege of Gods
- Take time to serve, it’s the purpose of life
- Set aside some effort to giggle, it’s the music of the soul

Keep a time log. Don’t depend on memory. See that your time is spend as per your priorities & responsibilities.
HOW TO MANAGE TIME?
Planning is key function though research proves that less than 5% of time goes on planning.
• Twenty percent of the time will produce 80% of productive output. So you can afford to manage at-least that 20% !
• Work expands to fill all the time available for it.
EFFICIENCY versus EFFECTIVENESS
Often lowest performers are those who seem to be working their heart out. They are very busy but lacks somewhere in their efforts.
COMMON TIME MANAGEMENT PROBLEMS
Procrastination – Putting off the doing of something intentionally and habitually till the twelfth hour. Penelopize is world’s number one time waster. Remove it from your life entirely. There is nothing like present to do your work. If yes, ask yourself why – why am I putting this off?. If there is some reason. Strictly do not confuse your reasons with excuses.
TIME MANAGEMENT PROBLEM –
INADEQUATE DELEGATION
Spending time on a work that can be done perfectly by your subordinate. Delegation helps in saving the time . Delegation improves outcomes by making complete use of resources. Delegation infers moving activity and power to another .
THE ART OF DELEGATION
It begins with the core sense of value & limits of your time. People often complain that they are running out of time mean while their subordinates are running out of work. Delegation is only the first step of one’s job. Delegation is not denying. It still needs control to be maintained.
DIFFICULTIES IN DELEGATION
It’s tricky. We enjoy doing things ourselves. We don’t take time sit & think. It is a slow process. We like to be on top. Will subordinate exceed us? Not believing others.
TIME MANAGEMENT IN OFFICE
By developing an efficient system in office working hours. Garble wastes work and time. Effort for good order in the office. Utilise all resources completely. Handle queries properly. Don’t let it become an inconvenience.
TIME EFFECTIVENESS IN WORK PLACE
Time can be wasted if the work area is not organised accordingly. You should keep your desk clear of all paper except the specific job on hand. It inspires you to think of one thing at a time. Concentration is a great time saviour. It is highly recommended to handle each piece of paper only once.
WAYS TO CONTROL INTERRUPTIONS
Set a time frame and stick to it. Set the stage in advance. Try to meet in other person’s office. Get visitors to the time point. Be hard with time but generous with people. Have a clock(time)available .
TIME MANAGEMENT PROBLEMS :
MEETINGS: Meetings are potential time consumers. Meetings are necessary evil in life; distractions from one’s regular work. Try to avoid a meeting where you are not required. Agenda should be clear. Everyone should receive the agenda well in advance. There should be a finishing time for meetings as well.
Dos & DON’Ts
Do not call a meeting until it is necessary. Do not call a meeting if the task can be done by a small group via formal/ informal discussion. Meetings are not for: giving messages, Socialisation, Rubber stamp decisions , Pass on information ,Promote private or hidden agenda and continue the habit. Call only those who are required for the task. Start on time. Do not over pack motivation. Come prepared and Stick to agenda. Talk to the point. Do not try to divert the discussion
PLAN THE DAY
- Make a list of priorities for the day based on urgency and importance.
- Get the planning right. Morning is the ideal opportunity for difficult work.
- Have work-breaks to overcome exhaustion.
- Living 100% in the present improves your work yield.
